The challenge
A large collections business received thousands of emails every day: customers making payments, requesting invoices, submitting proof of payment, or asking about their account.
A dedicated 15-person team opened every email, worked out the request, checked the account manually, opened attachments, typed a reply, filed the email, and logged the interaction.
The process was slow, expensive, and error-prone. Busy periods left emails unanswered for hours, and mistakes in replies or logging created real compliance risk. The client's goal was clear: remove the bottleneck without losing quality.
What we built
A fully automated email-processing system covering the entire workflow, from the moment an email arrives to a drafted reply and a logged interaction, with no human involvement for the large majority of cases.
At its core is a custom AI model trained specifically on this client's email language and patterns. It reads incoming mail, understands the request, and decides the exact action to take, running around the clock across multiple inboxes at once.
How it works, in plain English
Every inbox is monitored continuously; a new email is picked up the instant it lands.
The model reads the email and any attachments and classifies it: payment, invoice request, or needs human review.
It looks up the customer's live account status, holds and pending invoices included, before any reply goes out.
Receipts, transfer screenshots and cheque images are analyzed automatically, distinct from a logo or signature.
A professional, situation-specific reply is drafted, with the correct invoice files attached automatically when requested.
The email is moved to the right folder and the full interaction is logged for compliance, reporting and audit.

Why it matters
Thirteen full-time roles were freed from manual processing, and the savings extended past salaries: less training cost in a high-turnover role, less error-correction and rework, no peak-period overtime, and fewer compliance risks from manual logging.
The two remaining people shifted from doing the work to overseeing it: reviewing flagged edge cases and handling escalations. The business now handles roughly ten times the volume with a fraction of the team, and more consistently than before.
